Equans is looking for an Administrator to join our team based at the Royal Infirmary of Edinburgh on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.


You will be an integral member of the sites Administration and Reception team delivering all Office Services. The Administrator will support the delivery of a professional and efficient administrative support to the Office Service in line with the organisations goals and values. You must establish and maintain strong relationships with the operational teams and adopt and highlight a collaborative approach to resolving issues.

What will you deliver?

Co-ordinate with the Department Managers, Division staff and Equans Staff, delivering effective customer service, providing administrative support and to be an integral part of the team. 


Assist with processing HR documentation, inductions & update systems.
Prepare relevant letters to support the wider team. 
Assist with processing of PPMs, Reactive Tasks & Follow-ons. 
Work co-operatively across multiple IT systems in support of our operational teams on site.
Processing orders, invoices, receipting and billing & cash reconciliation to strict deadlines. 
Undertake reception duties which include Control of contractors via E- Permit system, distribution of visitors PPE & general reception duties.
Document control.
Using the photocopier and scanning of documentation.
Assist with compiling Newsletter.
Assist with collating weekly/monthly site reports.
Preparing and Issue of Site ID Cards.
General administration duties.

Who are you?

Previous experience within Administration is a must.


Experience within a Healthcare environment is advantageous.
Previous knowledge of CAFM Systems advantageous.
Knowledge of Microsoft word and excel.
Responsible, trustworthy, and reliable.
Flexible and adaptable to change at a high pace.
Maintain highest level on confidentiality.
Exceptional communications skills and have the ability to liaise with management and operatives at all levels.
Good attention to detail.

This role includes a DS PVG check therefore ability to pass is essential.
