ABOUT THE ROLE
A varied and responsible position providing efficient administrative and secretarial support to a friendly team of Building Surveyors and two Equity Partners. The nature of this role will be to assist them in managing their ongoing projects from typing and formatting complex documents, database administration and helping to assist in any client/contractor queries where necessary.
You will manage your own busy workload which will include, but not be limited to, helping to draft and format tenders and contracts, which are compliant with the Firm’s procurement policy; produce internal and external reports and organising travel and accommodation.
You will arrange and attend regular team meetings and be responsible for ensuring the Building Consultancy database is kept up to date, including setting up new jobs, processing invoices and archiving past jobs.
In addition, you will assist with general office administrative duties such as covering reception, answering incoming calls, greeting visitors, administering petty cash, electronic scanning and filing and organising couriers.
WHAT MATTERS MOST IN THIS ROLE
Building and maintaining close professional relationships with clients, contractors and colleagues is paramount to your success.
You will have the ability to multitask and experience working towards tight deadlines. You will regularly resolve a range of enquiries quickly and efficiently.
Attention to detail is crucial, especially in the maintenance of our databases, processing invoices and preparing reports to send to clients.
You should have experience working in a busy and professional office. Working knowledge of Microsoft Word, Excel, Teams and SharePoint is required.
Other duties will include:
- Copy/audio typing correspondence and reports.
- Arranging surveying resources, i.e., cherry pickers, drones.
- Responsible for the logging and processing of all incoming and outgoing post, including taking post / parcels to the Post Office.
- Supporting the Administration Manager with office facilities and IT requirements and providing cover and support to the wider Building Consultancy administration team across other offices when required.
- Preparing a range of documents to be issued either electronically or binding hard copies to be posted.
- Formatting documents to the required templates
· BC & Venture bid preparation and submission, ad hoc marketing support
· Preparation of business development/meeting materials (presentations/case studies/capability statements)
· Preparation and approval of internal communications and uploading to intranet (The Hub)
· Northern Event and networking strategy and control, wider support at national level if required.
