A very innovative and successful international prime location residential & commercial Real Estate Investment Management firm is looking for a top-notch EA to support their UHNW entrepreneurial Founder/CEO. You will be overseeing and mentoring a more junior Private PA, so you will need to have extensive experience as an Executive Assistant and Executive Personal Assistant.

The role is 5 days split between working from the fabulous offices in the West End and from the Founder/CEO’s home in West London.The Founder/CEO is a family man with a wife and children. He is highly intelligent, an extensive art collector and has a keen interest in wellness, health and fitness. Very calm, with a good sense of humour.The ideal candidate must have experience as a Senior Executive Assistant and Private PA for a UHNW, property management and ideally an art collection.They are looking for a highly experienced and discreet Executive Assistant to deliver primary corporate support to the CEO and the organisation’s corporate matters, while also managing select private family office administrative duties. This role includes mentoring and developing a Private PA for household-side operations. The ideal candidate will operate with utmost professionalism and discretion, driving efficient administration, project coordination, and private-office quality alongside corporate responsibilities.Key ResponsibilitiesExecutive Support to CEO and Corporate Matters •Manage complex calendar, prioritise and coordinate internal and external meetings, calls, and travel arrangements (domestic and international).• Prepare and coordinate board materials, reports, presentations, and briefing documents; ensure timely distribution and follow-up.• Act as gatekeeper and primary point of contact for the CEO; screen and triage enquiries, synthesise information, and draft responses as needed.• Coordinate cross-functional projects, deadlines, milestones, and action logs; liaise with executives, legal, finance, and operations as required.• Manage expense reporting, invoicing, budgets, and vendor communications; assist with financial reconciliations and procurement as needed.• Prepare and edit communications, emails, and letters; maintain professional and polished correspondence on behalf of the CEO.Private Office, Household Management, and Art/Insurance Portfolio • Oversee private office operations and household staff coordination; liaise with service providers, vendors, and property management.• Coordinate private travel arrangements (personal), including itineraries, accommodations, and security considerations alongside the Private PA.• Assist with personal projects and events, including family schedules, medical appointments, philanthropy activities, and special occasions alongside the Private PA.• Manage artwork-related activities: negotiate and administer artwork contracts, maintain artwork archiving and cataloguing, coordinate exhibition logistics, and oversee ongoing artwork maintenance.• Handle confidential information with utmost discretion; maintain strict privacy protocols and data protection.Mentoring and Development of Private PA • Provide mentorship, training, and onboarding support to the Private Office• Share best practices for diary management, communications, project tracking, and stakeholder management.• Offer guidance on personal/household administration processes, calendar discipline, and prioritisation strategies.• Provide feedback, set development goals, and monitor progress to ensure the Private PA’s growth and effectiveness.Stakeholder Management • Serve as a trusted liaison between the CEO, family office team, external advisors (legal, tax, accounting), and trusted external partners.• Represent the CEO and family office with professionalism at meetings, events, and network engagements.Compliance and Risk Management • Ensure adherence to internal policies, data protection regulations, and privacy requirements for both corporate and private activities.• Identify potential risks or conflicts of interest and escalate appropriately.Qualifications and Skills • Proven experience as an EA to C-suite, senior executive, or equivalent within a corporate environment and/or private family office setting.• Demonstrated ability to manage both corporate and private office operations with discretion, confidentiality, and integrity.• Strong project coordination and multitasking capabilities; ability to prioritise in a dynamic environment.• Ability to mentor a more junior Private PA• Excellent written and verbal communication skills; professional drafting and email etiquette.• Proficiency in Microsoft 365 or Google Workspace, calendar management (Outlook/Google Calendar), travel booking, expense management, and basic financial processes.• High level of judgment, problem-solving, and decision-making skills.• Strong interpersonal skills; ability to engage and influence across diverse stakeholders.• Resilient and composed under pressure; thrives in a fast-paced, high-trust environment.• Flexible approach to work location and hours as required by the CEO and family office needs.
