  • Responsibility for the FoH function at Pascal Place

  • Manage incoming calls into the business, transfer them to the appropriate person, message taking and ensuring callers are responded to appropriately

  • Meet and greet all visitors into Pascal Place, ensure they are checked in and provide relevant guidance and a warm welcome

  • Organisation of entry passes and staff ID cards
    • Issue visitor passes
    • Ensure there is always sufficient stock of activated passes each day

  • Manage Pascal Reception inbox dealing with any enquiries efficiently and promptly

  • Manage room schedules via Outlook Calendars , in particular working with L&D to provide sufficient space for intake and training days

  • Work closely with IT to ensure all equipment for desks and meeting rooms is fully functional and ready for use

  • Carry out daily checks of office cleaning reporting issues to the HOF and adding to the cleaners Comment Book

  • Management of any on site vending machines – monitor stock levels & liaise with supplier on refills

  • Order buffet lunches and deliver to relevant meeting rooms

  • Order Milk and other food supplies weekly – 3 x a week

  • Keep a log of all Reception purchases, manage and carry out cost comparisons

  • Raise Purchase Orders for items purchased ie: Amazon, EOTM, Flowers, Stationary, Contractors

  • Post duties, organise incoming post and frank outgoing mail each day

  • Bind and laminate documents as & when required

  • Organise Christmas tree and decorations each December

  • Become a Fire Warden and First Aider to provide emergency assistance at front of house

  • Assist HOF and Facilities Co-ordinator with ad hoc Tasks

  • Provide cover for Bytes House for holidays/sickness

  • Assist Bytes House FOH team with administration for regional offices – London, Portsmouth etc

  • Contribute to regular Facilities meetings, submitting suggestions for improved Facilities function
