Right Now Group are currently recruiting for anAdministratorto join a well-established and fast-paced aviation business based at Heathrow Airport. This is an excellent opportunity for an experienced administrator with strong organisational skills who enjoys working in a busy operational environment, supporting HR, security compliance, and general office functions.

Salary: £28,0000 - £29,000
Location:Heathrow
Hours:Monday - Friday

Key Duties:
  • Conduct security interviews for prospective employees as part of the onboarding process.
  • Prepare and issue employment offers and contracts to successful candidates.
  • Support new starter inductions by completing biometric enrolment and explaining the referencing and DBS clearance process.
  • Assist employees with ADP system registration and onboarding.
  • Administer the application, renewal and replacement of airport ID passes, including referencing checks and Gateway system updates.
  • Process and issue staff car park permits.
  • Maintain accurate electronic and paper personnel records in accordance with GDPR legislation.
  • Process applications for airside vehicle permits and ensure all documentation is completed accurately.
  • Manage the application and issue of Tools of the Trade permits.
  • Prepare meeting documentation and accurately record and distribute meeting minutes.
  • Monitor stationery supplies and place orders in line with departmental budgets.
  • Coordinate uniform orders, ensuring stock and expenditure remain within budget.
  • Administer eye care voucher applications for eligible employees.
  • Respond to incoming telephone enquiries and provide day-to-day administrative support.
  • Process invoices and maintain accurate financial records using internal systems.
  • Manage all incoming and outgoing post efficiently.
  • Liaise with the Shared Service Centre to process new starter and leaver notifications.
  • Maintain and reconcile petty cash records in accordance with company procedures.
  • Process employee expense claims for those not registered on the Web Expenses platform.
  • Arrange travel and accommodation, including hotel, flight and vehicle bookings,
  • Coordinate the servicing and maintenance of office equipment and facilities, including printers and water coolers.
Previous Experience:
  • Previous administration experience
  • Strong organisational skills with excellent attention to detail.
  • Ability to work accurately while managing multiple tasks in a fast-paced environment.
  • Excellent interpersonal and communication skills.
  • Ability to follow established processes and procedures while remaining flexible to operational requirements.
  • A team player with a proactive and professional approach

The successful candidate will have to go through a full 5 year reference check and DBS check.
